The Opportunity:
Our client is seeking a Temp Scientific Meetings & Congress Coordinator to join our team. This role is pivotal in orchestrating seamless coordination and execution of Scientific meetings and congresses, ensuring compliance with industry regulations and company standards. This role will be supporting the Medical Affairs team and reporting into the Director of Medical Affairs Operations. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to thrive in a fast-paced environment while maintaining a high-level professionalism and diplomacy.

Facilitate all aspects of meeting planning for external activities such as Advisory Boards, Steering Committees, and Symposiums

Lead the execution against Congress plans, including securing exhibitor booth space and sponsorship opportunities.

Support the internal team for Congress planning by coordinating KOL engagements, assisting in the development of the Medical Affairs Congress playbook, and organizing pre-congress kickoff meetings.

Coordinate housing and registration for congresses, including securing and overseeing hotel room blocks in compliance with congress rules and procedures.

You will also assist the Director of Medical Affairs Operations in implementing initiatives aimed at enhancing service optimization and process efficiencies within our team.

Ensure all managed congress activities are compliant and follow company policy.

Ancillary administrative support.
Required Skills, Experience and Education:

Bachelor's degree from an accredited college.

Exceptional attention to detail, strong customer service skills, and a strong commitment to completing tasks effectively.

Strong communication skills

Prior experience in Congress Planning and Execution.

Proficiency in managing multiple priorities while demonstrating adaptability.

Strong problem-solving skills, ability to remain calm under pressure, and thrive in collaborative environments are essential.

Experience in working in a collaborative environment with multiple stakeholders and functions

Forward looking with continuous improvement mentality.

Ability to travel domestically and internationally.
Preferred Skills:

Bachelor’s degree is preferred

3+ years of relevant congress and meetings management experience in the Pharmaceutical or Biotechnology industry

Knowledge of Medical Affairs processes and understanding of key activities required
