Position Summary
The Clinical Operations Assistant supports all the administrative activities in the Skincare Clinical Research and Innovation Center (SCRIC), including scheduling, emailing, sending out reminders, scanning, filing, printing study documents, organization of inventory, product ordering, chart preparation, room preparation, study product preparation, data entry, etc.
Key Duties / Responsibilities
• Responsible for participant check-in/check-out and may assist with the providing study forms to the participant to complete.
• Perform general sanitizing of treatment rooms, instrumentation, and high-touch surfaces before and after patient visits and whenever necessary.
• Perform administrative duties such as scheduling patients, answering calls, responding to emails, sending out appointment reminders, photocopying, filing, scanning, and organizing documents.
• Responsible for preparing treatments rooms, patient charts, and study product supplies.
• Responsible for maintaining SCRIC Product Inventory and general supplies (including ordering, disposing, shipping, logging/tracking, and organizing).
• Support data entry activities.
• Support additional clinical activities such as arranging instrumentation servicing/maintenance, ordering subject compensation for participants, providing eligible compensation to participants upon study completion, etc.
Minimum Requirements
• Bachelor’s Degree required
• Excellent customer service and people skills are essential
• Ability to work independently as well as within teams
• Attention to detail and ability to prioritize with strong organizational skills
• Knowledge of pharmaceutical/healthcare industry is preferred.
• Experience working in a medical office setting is preferred.
• Proficient in MS Word, Powerpoint, Outlook, Excel, etc.
• General knowledge and application of all regulatory guidelines governing clinical research is preferred (GCP, ICH guidelines, CFR, etc.)
