Client is an international biopharmaceutical company focused on improving patients’ lives by identifying, developing, and commercializing meaningful products that address unmet medical needs. We are continuing to expand our commercial product portfolio and our research and development pipeline in therapeutic areas that can leverage our unique expertise.
We are looking for a talented and diligent HR Procurement Coordinator to work remotely, East Coast preferable. This person is responsible for procurement coordination for Human Resources and must be able to communicate competently with internal and external stakeholders. The role reports to the HR Operations Program Manager.
The HR Procurement Coordinator plays an integral role in the introduction of suppliers to the legal and financial systems as well as representing client's HR teams in the contract process.
The HR Procurement Coordinator is responsible for managing the Human Resources contract process, from receipt of a contract request through execution and payments. As such, the HR Procurement Coordinator is responsible for reviewing contract requests, gathering any additional required information, ensuring appropriate agreement templates are utilized, acting as a liaison on supplier negotiations with legal, compliance, and internal contract requestors. Ensures compliance adherence with company policies and procedures in processing agreement requests and facilitating the purchase orders to contracted suppliers. The HR Procurement Coordinator will consult with other departments for additional support as appropriate (legal, compliance, procurement, other matter expert functions as needed).
This individual will develop strong, positive, value-added working relationships with internal and external customers and demonstrate sound management of assigned contracts.
Essential Functions:
• Provide support to Human Resources departments in the procurement process
• Process agreement requests in the legal system and purchase requisitions in the financial system, including gathering of required documents
• Review documents to ensure all pertinent information is captured and provided
• Perform financial due diligence on new supplier requests prior to set-up in the financial system
• Provide status to internal customers on contracts, purchase requisitions, and supplier set up
• Track, monitor, expedite contracts and purchase requisitions
• Organize signatures by all parties on legal agreements
• Work closely with Account Payables, Legal and Procurement Operation team
• Communicates clearly and effectively with all cross-functional teams to maintain strong positive relationships
Secondary Functions, As Needed
• Assist with Human Resources cross-functional quarterly and annual budgets
• Effectively partner with internal and external customers, delivering high-level customer service
• Serve as the first point of contact for general HR questions from employees (Zendesk)
• Manage the new hire data entry process for employees in Workday
• Manage employee data changes such as title, cost center, location, etc., in Workday
• Credentialing and verification letters for employees
• Employee award coordination
Qualifications and Skills:
• Bachelor’s degree preferable
• Working knowledge of basic accounting practices
• MS office - must be proficient with Word and Excel, PowerPoint a plus
• Knowledge of financial and HRIS systems
• Precise and accurate data entry skills
• Excellent communication skills (both oral and written)
• Excellent organizational skills; ability to multitask, set own priorities and adapt to a changing environment and meet deadlines
• Ability to work independently and in a team environment
• High integrity and excellent business judgment
