The Opportunity:

We are looking for a temporary People Operations Associate to join our growing People team. The ideal candidate, who is interested in the People Operations function, is detail-oriented and highly motivated, exhibiting a positive attitude, patience, teamwork, and critical thinking. This role will be part of the People Operations organization and will focus on important reporting, tracking, and follow-up.

Key Duties and Responsibilities:

  • Support immigration, and work visa assessments for candidates and communicate guidance options and processing times in collaboration with the Talent Acquisition team; maintain company immigration, and work visa case tracker and ensure data integrity of our employee immigration, and work visa records.

  • Prepare semi-monthly payroll processing report and related payroll tasks (e.g., request to set up a new state, maintaining employee referral tracker, etc.).

  • Prepare and maintain HR monthly reports, including but not limited to new hire/termination reports, evacuation reports, education reports, etc.

  • Assist with development and data gathering related to the following compliance reporting requirements: FSA discrimination testing, EEO-1 (April), CA Pay Data (May), ACA reporting, and other compliance-related reporting and projects.

  • Assist the People team with periodic internal audit requests (e.g., employee records in our databases, SOX compliance audit requests, etc.).

  • Create new People team vendors and set up purchase orders in the company’s AP system, Coupa.

  • Assist the People team in critical projects and initiatives, as appropriate and including responding to employee queries, resolving issues in a timely and professional manner, and on occasion, partnering with HR Representatives with onboarding and offboarding tasks as needed.

Required Experience, Skills, and Education:

  • Bachelor’s degree with 3+ years of experience in human resources within a biotech environment preferred.

  • Experience with processing immigration, and work visa cases is preferred.

  • Experience working with confidential materials and in functions with high confidentiality requirements preferred.

  • Desire and ability to work in a fast-paced, diverse, team-oriented, and dynamically changing environment.

  • Highly organized, detail-oriented, excellent record-keeping skills, and calm under pressure.

  • Excellent written and verbal communication, problem-solving/analytical, and organizational skills.

  • Strong interpersonal skills and ability to uphold data confidentiality and consistency standards.

  • Ability to manage multiple tasks concurrently and adjust quickly to changing priorities.

  • Strong proficiency with Microsoft software (Outlook / Word / Excel / PowerPoint).
