Job Description

Executive Assistant

About the Role
You’re an experienced, high-performing Executive Assistant who thrives at the intersection of sharp judgment and fast execution. You communicate easily across all levels of an organization, build trust quickly, and bring calm, capable energy to even the busiest days. In this role, you’ll partner closely with the CHRO and become a key connector across our team.
What You’ll Do

  • Partner with executives, stakeholders, and teams at every level — from the C-suite to external partners — building relationships built on trust and reliability
  • Own complex, ever-shifting calendars, and confidently reprioritize on the fly to keep the day running smoothly
  • Jump into cross-functional projects and special assignments, bringing organization and follow-through wherever they’re needed
  • Plan seamless domestic and international travel, crafting detailed itineraries and adapting gracefully when plans change
  • Coordinate team meetings, events, and offsites that run smoothly from start to finish
  • Manage expense reports, purchase orders, and administrative workflows using Microsoft 365, Copilot, SharePoint, and other tools
  • Step in to support fellow EAs as needed, contributing to a collaborative team culture

What You Bring

  • 8+ years supporting senior executives or C-suite leaders
  • Strong command of Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfort with video conferencing and collaboration tools
  • A knack for juggling priorities, meeting deadlines, and staying organized under pressure
  • Warm, polished communication — you know how to write and speak with clarity and professionalism
  • An instinct for anticipating needs before they arise, paired with meticulous attention to detail
  • A service-minded, team-first attitude, balanced with the confidence to work independently
  • Sound judgment and discretion when handling sensitive or confidential information
  • Experience in biotech, pharma, or life sciences is a plus

Fraud Alert

Candidate safety is a top priority at Planet Pharma. The industry has seen an increase in people falsely representing themselves as recruiters to gather personal information from job seekers. For your safety, do not provide sensitive data to anyone you have not spoken with thoroughly, never provide banking information during the application process and always double check the email address of the Recruiter to ensure it’s from an official Planet Pharma domain (@planet-pharma.com, @planet-pharma.co.uk, and @ppgadvisorypartners.com) and not a domain with an alternative extension like .net, .org or .jobs.
