Medical Affairs & Evidence Generation (MA&EG) Project Coordinator
Job Description
The MA&EG Project Coordinator supports the execution of MA&EG projects by coordinating activities including externally sponsored research and pre /post trial access requests. As a member of the MA&EG Strategy & Planning team, they work closely with MA&EG Indication Leads, Functional Leads, and Subject Matter Experts. The Coordinator ensures streamlined, end to end management of research and patient access inquiries from intake through completion and close out, ensuring cross functional alignment, governance clarity, and operational excellence.
The role is responsible for administering the ESR (HCF) platform, triaging PAA submissions, processing purchase orders, and supporting PSMF reporting. Additionally, the Coordinator partners with Legal (Cargo) on contract workflows and maintains comprehensive project tracking through KPI monitoring and dashboard oversight. They also contribute to team effectiveness by promoting cultural pillars and coordinating functional meetings and off site activities as needed.

- Administrator & Coordinator, ESR (HCF) Platform and ESR Committee Meetings
- Coordinate cross-functional contracting activities for MA&EG projects, including routing CDAs and contracts for Legal review and working with Finance to execute purchase orders and vendor setup in accordance with applicable SOPs.
- Serve as the primary point of contact for the MA&EG External Sponsored Research (ESR) mailbox and portal, ensuring timely triage, review, response, and routing of ESR, PAA/PTA, and HCP inquiries using approved response templates and established workflows.
- Collaborate with internal teams and external stakeholders to resolve HCP questions or issues promptly, ensuring accurate documentation and tracking of all communications.
- Prepare, issue, and track customized ESR response letters, follow-up correspondence, and other communications to support program documentation and analysis.
- Maintain systematic tracking of ESR proposal milestones, data, and required system entries; contribute to dashboards and reporting aligned with company and industry standards.
- Deliver routine and ad-hoc reports to support resource planning, workload forecasting, and operational insights related to ESR requests and system activity.
- Proactively identify opportunities for process and workflow improvements across ESR and MA&EG operational activities.
- Provide operational and logistical support for MA&EG programs and projects as needed.
- Strong ability to network and build strategic partnerships with internal and external stakeholders, fostering collaboration to drive projects forward.
- Ability to understand regional variation and regulations impact on process and procedures to ensure compliance with internal SOPs and external laws.
- Highly proficient in operational execution, with a keen attention to detail and a commitment to tracking, measuring, and reporting progress.
- Excellent verbal and written communication skills
- Strong advocate for cross-functional collaboration, recognizing and leveraging the strengths of diverse teams.
- Adaptable and effective both as a team player and when working independently.
- Proven ability to work independently, highly organized and effective in handling multiple detail-oriented projects in a fast-paced environment and is proactive to anticipate challenges and/or resolve problems.
- Strong administrative and computer skills, including Word, Excel, and PowerPoint; familiarity with database functionality (back-end and user interface)
- Ability to identify opportunities to improve efficiency and to respond effectively to the needs of the business.
- Experience in executing on key objectives with a cross-functional scope.
EDUCATION, EXPERIENCE AND QUALIFICATIONS
- Bachelor’s Degree in healthcare or life sciences required
- 5+ years industry experience
